Who we are
Willow Alexander Handyman Limited is the data controller responsible for the personal data collected through this website and in the course of providing our services.
We are a company registered in England and Wales, company number 15092374. Our registered office is 12 Hatherley Road, Sidcup, Kent, DA14 4DT.
We trade as Willow Alexander Handyman and are part of House of Willow Alexander. Each company in the group is an independent data controller for the data it processes, so this notice covers the handyman business only.

We have not appointed a Data Protection Officer, as we are not required to. Data protection questions go to the address above and are handled by the business owner.
What data we collect
When you make an enquiry, ask for a fixed price, book a job, subscribe to our newsletter or otherwise deal with us, we may collect:
Identity data, being your name, email address and phone number, plus any company name and role if you are enquiring for an organisation.
Property data, being the address and postcode of the property we are to work at, and anything you tell us about access, parking, the type of building or the history of the job.
Job data, being your quote, booking, appointment times, the work carried out, any photographs taken of the job, and payment records.
Communications, being the content of messages, emails, form submissions and phone calls between you and us.
Technical data, being your IP address, browser and device type, and the pages you viewed on this website.
Marketing preferences, being whether you have opted in to receive marketing email from us.
We do not ask for and do not want special category data such as health, ethnicity or beliefs. Please do not put it in a form. If you tell us something of that kind because it affects how we work at your property, we use it only for that and delete it when the job is closed.
This website is not intended for children, and we do not knowingly collect data about anyone under 18.
How we use your data, and our lawful basis
We only process your data where the law allows. In practice that means:
Answering enquiries and preparing quotes. Lawful basis: legitimate interests, being our interest in responding to people who ask us to.
Delivering a booked job, arranging access and taking payment. Lawful basis: performance of a contract with you.
Keeping job records, managing the account and meeting our tax and accounting duties. Lawful basis: legal obligation, and legitimate interests in keeping a record of work done.
Sending marketing email. Lawful basis: your consent, given by ticking the box on a form or subscribing to the newsletter. You can withdraw it at any time, and every marketing email carries an unsubscribe link.
Understanding how the website is used so we can improve it. Lawful basis: your consent, given through the cookie banner. Nothing analytical loads until you accept.
Preventing spam, fraud and abuse of our forms. Lawful basis: legitimate interests in protecting the business.
Where we rely on legitimate interests we have considered whether that interest is overridden by your rights, and concluded it is not. You can object at any time, and for direct marketing we will always stop.
We do not carry out automated decision-making or profiling that produces legal or similarly significant effects.
Who we share your data with
We never sell your personal data, and we do not share it for anyone else's marketing. We share it only with the suppliers we need in order to run the service. Each acts on our instructions under a data-processing agreement:
Brevo (Sendinblue SA, France). Sends the notification email that reaches our sales inbox when you submit a form. Hosted in the EU.
Google (Google Ireland Limited and Google LLC). Every form submission is written to a private Google Sheet in our Google Workspace, which is our record of enquiries. Google Analytics 4 also provides website statistics, but only after you accept analytics cookies.
Klaviyo (Klaviyo Inc., EU hosting region). Our marketing email platform. Your details reach Klaviyo only if you opted in to marketing.
Microsoft Clarity (Microsoft Corporation). Session replay and heatmaps, so we can see where the website confuses people. Loads only after you accept analytics cookies, and masks text you type into forms.
Sentry (Functional Software Inc., EU hosting region). Records technical errors so we can fix them. It receives page URLs and browser details, not the contents of your enquiry.
Cloudflare Turnstile (Cloudflare Inc.). Checks that form submissions come from a person rather than a bot. It is a challenge, not a tracker, and it does not build a profile of you.
ServiceOS (UK). The booking platform behind our online booking window. It is shared across the Willow Alexander brands, so a booking made here is visible to the group operations team that schedules it.
Howa Living Ltd. Collects payment for our services, so it receives your name, contact details and the amount charged in order to take the payment and keep the accounting record. This is why our name appears as Howa Living Ltd on your bank or card statement. Card details themselves are handled by the payment provider and are never held by us.
Vercel (Vercel Inc., London region). Hosts this website. Its server logs contain IP addresses for a short period.
Sanity (Sanity AS, Norway). Stores the website's own content, such as page text and images. It holds no customer data.
Professional advisers such as our accountants, insurers and solicitors, where they need the data to advise us.
Public authorities such as HMRC, the police or a court, where the law requires us to disclose.
If the business is ever sold or restructured, customer records may transfer to the buyer, who would be bound by this notice until they tell you otherwise.
International transfers
Some suppliers above are headquartered in the United States. Where we can choose an EU or UK hosting region we do, and we have for Brevo, Klaviyo, Sentry and Vercel.
Where personal data does reach the United States, the transfer is covered by the UK Extension to the EU-US Data Privacy Framework where the supplier is certified under it, or by the UK International Data Transfer Agreement or Standard Contractual Clauses with a transfer risk assessment.
You can ask us for a copy of the safeguard we rely on for any named supplier.
Cookies
This website sets strictly necessary cookies automatically, including one that remembers your consent choices. Analytics and marketing cookies are set only after you have accepted them in the cookie banner, and nothing in those categories loads until you do.
Our Cookie policy lists every cookie by name, says how long it lasts, and explains how to change your mind.
How long we keep your data
We keep data only as long as we need it, or as long as the law requires:
Enquiries that did not become a job: up to 3 years from your last contact with us, so we can pick up the thread if you come back.
Job, invoice and payment records: at least 7 years from the end of the relevant accounting period, which is what HMRC and the Companies Act require.
Photographs of completed work: up to 3 years, unless we have asked for and received your permission to use an image in our marketing, in which case until you withdraw it.
Marketing list: until you unsubscribe, or after 3 years of no engagement at all, whichever comes first.
Website analytics: up to 14 months, which is the retention we have set in Google Analytics 4.
Error logs: 90 days.
When a retention period ends we delete the data, or anonymise it so it can no longer identify you.
How we protect your data
Traffic to and from this website is encrypted with HTTPS. Lead records sit in a private Google Sheet only named accounts can open, protected by two-factor authentication. Access to every system is limited to the people who need it. Forms are validated on the server and protected by a bot challenge.
No system is perfectly secure. If you believe your data has been compromised, tell us straight away at sales@willowalexander.co.uk and we will investigate. Where a breach is likely to risk your rights and freedoms we will report it to the Information Commissioner's Office within 72 hours, and tell you if the risk to you is high.
Your rights under UK GDPR
You have the right to:
Be informed, which is what this notice is for.
Access, meaning a copy of the personal data we hold about you.
Rectification, meaning correction of anything inaccurate or incomplete.
Erasure, meaning deletion, unless we have a legal reason to keep it such as our accounting duties.
Restriction, meaning we hold the data but stop using it while a dispute is resolved.
Object, in particular to anything we do on the basis of legitimate interests, and always to direct marketing.
Portability, meaning a copy in a common machine-readable format, for data you gave us that we process by consent or under a contract.
Withdraw consent at any time, for anything we do on a consent basis such as marketing and analytics cookies.
To exercise any of these, email sales@willowalexander.co.uk. We will respond within one month, and will tell you if we need longer because the request is complex. Exercising your rights is free, and we may ask you to confirm your identity before we release data.
Complaints
If you are unhappy with how we have handled your data, please contact us first at sales@willowalexander.co.uk so we can put it right.
You also have the right to complain to the Information Commissioner's Office, at ico.org.uk, on 0303 123 1113, or by post to: Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF. Complaining to the ICO does not affect any other legal remedy you have.
Changes to this policy
We may update this policy as the business or the law changes. The date at the top of this page shows when it last changed, and we will flag any material change on this page for at least 30 days before it takes effect.
